The Anne Sullivan Centre and services funded by The Anne Sullivan Foundation is committed to ensuring that your privacy is protected. This notice (together with our Data Protection Policy) sets out the basis on which any personal data we collect from/about you or that you provide, will be processed by us. It is our goal to be as open and transparent as possible with all, about the personal data we collect, how it is used and with whom it is shared.
We process personal data (such as your name, email, phone number and postal address) only when you voluntarily provide it to us—such as when you submit a query through our contact forms, commence work with us, register for an event, or make a donation through third-party platforms like iDonate.

The information we collect about you

We may hold:
  • General Personal Data – to identify you, which may include your CV, contact information, membership of professional bodies, garda vetting, references, next of kin details
  • Financial Data – Your financial information, such as bank account details, PPS number (only in cases where processing is required such as, invoicing, donations, payroll)
  • Special Category Data – Health and Medical information, Safeguarding information, Disability related information

When we collect your information

We collect information: (1) that you give us (2) information from your use of our services such as the use of our website or contact with our Residential, Day or Outreach Service or Fundraising (3) information provided to us by third parties e.g. Healthcare providers/Medical data.

How we use your information and the legal basis

We use and share your data where:
  • You have agreed or explicitly consented to the use of your data in a specific way
  • Use is necessary in relation to a service or a contract that you have entered into
Included are employees, volunteers and all other allied providers & contractors associated with carrying on the business of the Anne Sullivan Centre and services funded by The Anne Sullivan Foundation.
  • Use is necessary as we have to comply with legal obligations, such as
Safeguarding/requirement on organisations to hold certain information on people, as set down by regulatory bodies, such as the Health Information and Quality Authority (HIQA), HSE or the Revenue
  • Use is necessary to protect your “vital interests” – to protect life or well-being
  • Use for our legitimate interests, such as managing our business, providing service information, training and quality assurance and strategic planning

Our Lawful Basis for Processing

  • Consent: We rely on your explicit consent to send you marketing emails, newsletters, or digital fundraising updates. You can withdraw this consent at any time.
  • Legitimate Interest: To connect with our valued supporters, we may use your postal address to send you direct mail fundraising appeals and organisational updates. We also rely on legitimate interest to respond to your direct queries.
  • Legal Obligation: We process and retain financial donation records to comply with statutory obligations, including Irish Revenue requirements for Charitable Donations Tax Relief (CHY3/CHY4).

Children and Vulnerable adults

We process personal data relating to vulnerable adults and children in line with safeguarding obligations and relevant legislation.

Data Security

We implement appropriate technical and organisational measures including access controls, encryption and staff training in GDPR.

Who we share your information with

We may share your information with:
  • third party companies with whom we have contracted to host and store information on
our behalf, such as, service providers e.g. Findmyshift and EpicCare or payroll providers
  • service providers who provide us with support services
  • statutory and regulatory bodies and law enforcement authorities
  • third parties in connection with the running of our service such as our funding partners
  • the HSE and contracted members of our multi-disciplinary team who provide support
and assistance to our service
  • pension fund administrators and Insurers
  • healthcare professionals and medical consultants where relevant
To note, we will never share it without a lawful reason.

Implications for not providing information

If you do not provide information, we may not be able to:
  • continue to provide and/or renew existing contracts or agreements
  • assess suitability for future supports or services
  • comply with our legal and contractual obligations

How long we hold your information – Retention and Security

How long we hold your data for is only as long as necessary, subject to internal policy requirements, regulatory compliance and contractual agreements.
Your information is treated with the highest standards of security and confidentiality.
In compliance with Irish statutory requirements, donation and financial records are securely retained for a period of 7 years, after which they are safely destroyed.
General query data is only held for as long as necessary to resolve your request, in line with legal requirements. We never share or sell your personal data to third parties for marketing purposes.
